Superbench Pte Ltd (“Superbench”, “we,” “us,” or “our”) is committed to protecting the privacy and security of Personal Data in accordance with Singapore’s Personal Data Protection Act 2012 (“PDPA”) and other applicable data protection laws.

This Privacy Policy explains how Superbench collects, uses, discloses, stores, and protects Personal Data in the course of providing its AI-powered sales and scheduling software services.

1. Definitions

In this Privacy Policy:

  • “Superbench” refers to Superbench Pte Ltd.

  • “Company” refers to any organisation subscribing to Superbench’s services.

  • “End Customer” refers to individuals interacting with a Company through Superbench’s platform.

  • “Personal Data” means data, whether true or not, about an individual who can be identified from that data or from that data and other information.

  • “Service” refers to Superbench’s sales, scheduling, automation, and AI chatbot services.

2. Roles and Responsibilities (Controller vs Processor)

In most cases:

  • The Company is the data controller and determines the purposes and means of processing Personal Data.

  • Superbench acts as a data processor, processing Personal Data solely on documented instructions from the Company for service delivery.

In limited circumstances (such as account management, billing, compliance, and platform security), Superbench acts as an independent data controller.

3. Collection and Use of Personal Data

Superbench processes Personal Data strictly for legitimate business purposes, including:

  • facilitating communications between Companies and End Customers

  • managing appointments and scheduling

  • providing customer support

  • operating and improving platform functionality

  • ensuring system security and fraud prevention

  • complying with legal obligations

Types of Personal Data may include:

  • name, phone number, email address, physical address

  • appointment and calendar information

  • conversation history between Companies and End Customers

  • account and usage metadata

AI Processing

Conversation data may be analysed to improve personalised workflows for the relevant Company. Superbench makes reasonable efforts to minimise or mask Personal Data during internal testing.

Superbench does not use customer data to train generalized or public AI models.

Any model refinement is performed only to deliver services for the originating Company.

4. Data Retention

Superbench retains Personal Data only for as long as it is reasonably necessary to fulfil the purposes for which it was collected or as required for legal, regulatory, contractual, or business purposes.

Personal Data will be anonymised or securely deleted when both of the following conditions are met:

  • the original purpose for collection is no longer served; and

  • retention is no longer necessary for legal or business reasons.

This applies regardless of whether consent has been withdrawn. Superbench conducts periodic retention reviews.

5. Data Storage, Security, and Overseas Transfers

Superbench hosts and processes Personal Data in Singapore and other jurisdictions where its infrastructure or service providers operate.

We implement reasonable administrative, physical, and technical safeguards, including:

  • encryption

  • access controls

  • secure infrastructure

  • internal data handling policies

to protect against unauthorised access, modification, disclosure, or loss.

5.1 Overseas Transfers

Where Personal Data is transferred outside Singapore, Superbench ensures a comparable standard of protection by implementing one or more of the following:

  • contractual data protection obligations

  • recognised legal transfer mechanisms

  • assessment of recipient jurisdiction protections

Transfers occur strictly for operational and service purposes.

5.2 Google Workspace API Usage

Superbench uses Google Workspace APIs solely to facilitate sales and scheduling functionality.

We do not use Google Workspace data to develop generalized AI or machine learning models. Data accessed via these APIs is used only to provide personalised services on behalf of clients, in compliance with Google API policies.

6. Disclosure of Personal Data

Superbench does not sell Personal Data.

We may disclose Personal Data to:

Service Providers

Third-party vendors supporting hosting, analytics, communications, and operations. All providers are contractually required to maintain confidentiality and comply with data protection obligations consistent with this Policy and applicable law.

Legal Authorities

Where required by law, court order, or governmental request.

7. Individual Rights

Subject to applicable law, individuals may request:

  • access to their Personal Data

  • correction of inaccurate data

  • deletion where legally permissible

  • objection or restriction of processing

End Customers are encouraged to contact the relevant Company first, as Superbench primarily acts as a processor.

8. Data Breach Notification

Superbench maintains incident response procedures.

Where a data breach is likely to result in significant harm or is of significant scale, Superbench will:

  • notify the Personal Data Protection Commission (PDPC) as soon as practicable and no later than 3 calendar days after determining notifiability

  • notify affected individuals as soon as practicable unless an exception applies

Notifications will include required details such as breach nature and recommended protective steps.
